Understanding Users and User Roles in Freedcamp

I have been using the free account of Freedcamp, a project management system to manage freelance projects with clients for ever.

This article provides some information on how users, teams and permission levels work in Freedcamp.

When you invite a person by their email to a project in Freedcamp, they should be set to belong to one of these teams:

  • Organizer
  • Team Player
  • Contributor
  • Guest
  • Observer

These labels can be changed.

Ex.: Team Player” can be changed to “Team Member”.


Each team is mapped to a corresponding permission level (like a user role in WordPress).

These are the default mappings:

  • Organizer <-> Admin
  • Team Player <-> Pro User
  • Contributor <-> User
  • Guest <-> Guest
  • Observer <-> Read-Only

These mappings can be changed as well.


You will most likely be wondering which team should your freelance client belong to.

And the answer is either: Contributor or Guest.

Contributor takes up your plan’s user quota. A single code at AppSumo gives you 3 users across a single project or multiple projects.

Typically if your client is the one that is going to direct the ship by adding and managing the tasks, then you will want him/her to be added as a Contributor.

Guests cannot be assigned to tasks and, as a result, they can not do anything with tasks.

Guests can add comments, manage own comments, upload, and download files.

Guest will NOT be included in your paid plan users quota.

If your client is not savvy about website building (assuming you are a WordPress website developer) and relies totally on you to manage the tasks and only want to add comments you add them as guests.

You can change the team a user belongs to any time.

Summary of permission levels:

Owner

Like God – has all the powers.

This is typically you – the Freedcamp account holder.

WordPress Equivalent: Domain and Hosting account owner.

Group Admin

Can do everything except

  • manage group admins
  • delete projects created by others

WordPress Equivalent: Super Admin (WordPress multisite).

Organizer / Admin

Can do everything except

  • manage group apps
  • manage group admins
  • delete projects

WordPress Equivalent: Admin.

Pro User / Team Player

Can do everything except

  • edit the project
  • manage users
  • manage project apps
  • edit project application settings
  • manage group apps
  • manage group admins
  • delete projects

WordPress Equivalent: Editor.

User / Contributor

Can

  • add items
  • edit own item
  • edit an item created by another user. Can change statuses for items, assigned to him/her even if this item is created by another user.
  • delete own item
  • change assignment for own item
  • change progress status for own item
  • change progress status for an item created by another user
  • change due date for own item
  • add comment
  • edit own comment
  • delete own comments
  • manage notification subscriptions for own item
  • subscribe/unsubscribe yourself from an item created by another user

Can not

  • delete an item created by another user
  • change assignment for an item created by another user
  • change due date for an item created by another user
  • edit a comment posted by another user
  • delete a comment posted by another user
  • manage item groups
  • subscribe/unsubscribe other users from an item created by another user

WordPress Equivalent: Author.

Guest

  • suitable for these type of users: contractors, clients, and colleagues from other departments.
  • Guests cannot be assigned to tasks and, as a result, they can not do anything with tasks.
  • Guests can add comments, manage own comments, upload, and download files.
  • will NOT be included in your paid plan users quota, like the Observer role.

WordPress Equivalent: Imagine a site that allows only registered and logged in users to comment. A guest is such an user.

Observer / Read-Only

Can read everything and export data.

WordPress Equivalent: Anonymous visitors.
